A full meeting calendar does not equal a well-run executive office. Quality lies in the cycle around each meeting: which decision is required, what information must be available beforehand, who owns the outcome and how does follow-through remain visible?
The meeting as part of a system
When meetings are organised as isolated events, decisions easily disappear into minutes and the same topics return without clear progress. I therefore look beyond the appointment to the full process from reason to follow-through.
1. Intake: what must this meeting achieve?
For every important agenda item, I define the intended outcome: inform, discuss, set direction or decide. I also establish the content owner, required stakeholders and the deadline for supporting material.
2. Preparation: from documents to decision-ready information
A strong pack does more than collect documents; it makes the core visible. I organise information around the decision question, missing input, risks and dependencies. AI can support an initial structure, provided source checking and executive interpretation remain with me.
3. During the meeting: separate discussion, decision and action
I capture three information streams separately: what was discussed, what was actually decided and which action was assigned. A proposal is not a decision and an intention is not yet an action. This distinction prevents significant repair work afterwards.
4. Afterwards: maintain a decision and action register
Follow-through becomes manageable when each item shows: decision or action, owner, deadline, status, dependency and next review point. Open choices remain separate so they are not silently treated as complete.

The role of AI in this cycle
AI can summarise documents, structure draft agendas and turn checked notes into an initial decision or action list. The system still depends on human direction: asking the right question, setting source boundaries, recognising sensitivities and confirming ownership.
